Administrative Assistant - Finance
Job Summary
The Administrative Specialist – Finance will work closely with the Finance Manager (FM) to provide general administrative and clerical support to the finance department, assisting with a range of tasks like record keeping, processing invoices for payment, preparing expense reports, and assisting with the preparation of financial and ad hoc reports. In addition to supporting the finance unit the Administrative Specialist – Finance is also responsible for general office duties such as answering phones, scheduling appointments, making photocopies, and maintaining office supplies. This position will act as primary administrative support for the Finance office but will also support the general management of the ASEC office ensuring operational efficiency.
Skills & Qualifications:
Education: Associate’s Degree required; Bachelor’s Degree (an added advantage)
Experience/Technical Skills:
- Minimum of 3 years of experience working in a finance or accounting role; in lieu of experience a bachelor's degree in Finance or Accounting can be substituted for experience
- Prior experience using accounting software such as QuickBooks and/or Colleague
- Proficiency in Microsoft Word and Google Workspace; advanced proficiency in Excel
- Familiarity with GAAP accounting principles and standards
- Prior experience in grant management and budget development a plus
- Ability to communicate in non-financial language
- General knowledge of federal, state, and local laws pertaining to finance administration
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Must be able to communicate verbally and demonstrate good customer relations
- Demonstrated interest and/or familiarity in international development
- Cross-Cultural competence a plus
- Supports/ leads other duties and projects as assigned
- Prior experience with non-profit accounting or working in the nonprofit sector a plus
- Attention to details and problem-solving skills
